How to Turn Meeting Notes into a Visual Summary

Create a visual meeting summary with clear decisions, owners, deadlines, and open questions. Includes a worked example and a reusable recap template.

To turn meeting notes into a visual summary, separate confirmed decisions, assigned actions, and unresolved questions before you create the image. Keep each action's owner and due date attached to it. The resulting page should help someone understand what changed and what happens next without reconstructing the conversation.

Start with written notes or an existing transcript. This is a post-meeting workflow: YK Handdrawn does not join calls, record audio, or transcribe a meeting.

Decide what belongs on the page

A recap is a selected view of the meeting. Include the context someone needs to understand the decisions, plus the commitments that need follow-through. Leave the full discussion in the source notes.

Use three clearly labeled sections:

Add a meeting title, date, and next checkpoint. If a field is missing, use “not assigned” or “not decided” instead of asking a generator to guess.

Example: clean up rough meeting notes

Imagine the notes from a help-center review say:

8 September 2026. Agreed to pilot a new search page. Maya will draft the outline by 10 September. Leo will review search queries by 11 September. Translation came up, but no scope was agreed. Next checkpoint is 14 September.

The useful summary is short because the source already records concrete outcomes. It should not claim that translation was approved or imply that the pilot has launched.

“Translation scope — not decided” is an important result of the meeting. Keep it visible rather than filling the gap with an assumption.

For your own recap, replace all example details. Add source references to your accompanying document so colleagues can inspect the original record.

Create the image from confirmed notes

Open the visual note generator and paste your structured summary. Alternatively, upload supported TXT, Markdown, DOCX, or text-based PDF notes. If your transcript contains several topics, select the relevant section first.

Choose Clean Infographic for separated sections or Sketchnote for a more informal internal recap. Set English as the output language. A landscape aspect ratio can work well in a desktop update; check the result on the actual screen where colleagues will read it.

Generate, then verify the labels against the notes. The source guides the layout, but exact placement is not guaranteed. If the output is crowded, reduce discussion detail while preserving decisions and commitments. Regenerating after a source change uses another credit.

Download the image within the displayed 30-minute availability window. This export is a static image; it does not create tasks, calendar invitations, or clickable links inside the graphic.

Verify the recap before sharing it

The most serious errors are often plausible. A generator might produce a tidy-looking due date that was never agreed, or shorten “consider a pilot” into “launch the pilot.” Compare meaning, not just spelling.

A polished layout should make uncertainty easier to spot, not conceal it.

Check these details:

  1. Decision status: was the outcome actually agreed?
  2. Ownership: is the named person responsible, or were they only mentioned?
  3. Timing: does each date match the source? Resolve “next Friday” with the team if the date is ambiguous.
  4. Scope: did a qualifier such as “pilot,” “draft,” or “pending approval” survive?
  5. Completeness: is an important open question missing?

If an assignment is unclear, resolve it in the working notes before circulating a definitive-looking graphic. The recap should reflect agreement; it cannot create agreement on its own.

Share the image with a text record

Place the image beside a short written recap and a link to the source notes. Text remains searchable and accessible, and it gives recipients something they can copy into their task system.

For the example, the accompanying message could read:

We agreed to pilot a new search page. Maya's outline is due 10 September; Leo's query review is due 11 September. Translation scope remains open. Our next checkpoint is 14 September. See the linked notes for context, and flag any corrections to the assignments or dates.

Keep the image and written record consistent when an action changes. Do not use an old recap as a live status board.

Common questions

Does a visual recap replace meeting minutes?

It can supplement everyday working notes, but it should not replace a full record where your organization requires one. The image is a readable overview; the detailed notes preserve context, discussion, and any required approvals.

Can I generate it directly from a recording?

Not in the current YK Handdrawn workflow. Produce and check a transcript elsewhere, then paste the relevant text or upload a supported document.

What about confidential meetings?

Use material your organization permits you to process in an AI service. Remove unnecessary personal or confidential details. Extracting a document in the browser does not mean the generation step happens locally; the submitted text is processed by the configured AI services.

When should I use a different template?
